SparkCerts provides job, certificate and invoicing software for electricians. This policy explains what personal data we handle and your rights under UK GDPR. For your own account data we are the data controller; for the data you enter about your customers, you are the controller and we act as your processor.

Data we collect

• Account data: your name, business name, email, phone and login credentials.
• Business data you enter: jobs, quotes, certificates, invoices, photos, your price list, and your customers' details (name, address, contact details).
• Payment data: handled by Stripe. We store only a customer and subscription reference, never card numbers.
• Technical data: privacy-friendly, aggregate analytics. No cross-site tracking.

Why we use it, and our lawful basis

• To provide the service and your account (performance of our contract with you).
• To take payment and prevent abuse (contract, and our legitimate interests).
• To send quotes, reminders and certificates on your instruction (your instruction and your contract with your customer).

Sharing and processors

We use a small number of trusted processors to run the service: Stripe (payments), our email and SMS providers (to send your quotes, reminders and certificates), UK or EU cloud hosting and file storage, and Xero only if you choose to connect it. We never sell your data.

Retention

We keep your data while your account is active and for a reasonable period afterwards to meet legal and tax obligations. You can export your certificates and invoices as PDFs and request deletion at any time.

Your rights

You can access, correct, export, restrict or delete your personal data, and object to certain processing. Contact us to exercise these. You may also complain to the UK Information Commissioner's Office at ico.org.uk.

Security

Data is encrypted in transit, access is restricted, and payments are handled by Stripe. No system is perfectly secure, but we take reasonable measures to protect your data.

Cookies

We use only essential cookies to keep you signed in. Our analytics are aggregate and do not track you across sites.
